DEVICE CHECKOUT SYSTEM
Purpose and Scope
The purpose of this policy is to establish standards governing the use, security, management, and recovery of technology systems used by the School. This policy applies to all students, staff, contractors, and families who access or use School-owned or School-managed technology systems, devices, networks, software, and data.
All technology use must comply with applicable federal and state laws, including but not limited to:
- Family Educational Rights and Privacy Act (FERPA)
- Children’s Online Privacy Protection Act (COPPA)
- State voucher and education regulations
- Cybersecurity best practices
- School Acceptable Use Policies (AUP)
- Student safety protocols
Device Checkout System
A. School-Issued Devices
The School may issue technology equipment to students, including but not limited to:
- Chromebooks or laptops
- Headsets
- Hotspots (when available)
- Chargers
All issued equipment remains the property of the School at all times.
B. Device Checkout and User Agreement
Prior to receiving a device, families must:
- Execute a School Device Agreement
- Accept responsibility for proper care, use, and security of the device
- Acknowledge potential repair or replacement fees
- Agree to return devices upon request or at designated times
C. Device Monitoring
All School-issued devices are subject to monitoring. Monitoring tools may include:
- Mobile Device Management (MDM) systems
- Internet content filters
- Activity and usage logs
- Classroom monitoring software
Users should have no expectation of privacy when using School-issued devices.
D. Device Return, Repair, and Replacement
Devices must be returned:
- At the conclusion of the academic year
- Upon student withdrawal or transfer
- When requested for maintenance, updates, or repairs
Failure to return School property may result in billing, withholding of records, or other administrative action. Families must report damage immediately. Repair or replacement fees may include costs for screens, chargers, full device replacement, or hotspot replacement. Insurance coverage, if applicable, may reduce costs.
E. Lost or Stolen Devices
Lost or stolen devices must be reported within 24 hours. The School will remotely secure the device when possible. A police report may be required, and replacement fees may apply.
