IMMEDIATE RESPONSE PROCEDURES
Crisis Response Team (CRT)
Composition
The Crisis Response Team (CRT) manages all emergencies and includes:
- Executive Director
- Hybrid Center Coordinator(s)
- Director of Student Services
- Technology Director (for digital crises)
- Communications Director
- Security liaison (if applicable)
Authority and Coordination
The CRT coordinates incident command functions, ensures procedural consistency, directs communications, and determines next steps including emergency service involvement and reunification measures.
Core Immediate Response Actions (All Settings)
When a crisis or emergency is suspected or identified, staff must:
- Ensure immediate student safety (supervise, secure environment, restrict exposure).
- Notify administration/CRT immediately when the issue is elevated or urgent.
- Contact emergency services (911) when immediate danger is suspected or when procedures require.
- Contact the parent/guardian as soon as the situation is stable, or immediately in serious incidents.
- Document actions taken and preserve evidence when relevant (e.g., screenshots for online threats).
Hybrid Emergency Procedures (On-Site)
Fire Emergency Procedure
- Pull fire alarm
- Evacuate via posted routes
- Take attendance
- Notify emergency services immediately
- Re-enter only when cleared by emergency personnel/CRT
Lockdown Procedure
Triggered by intruder, external threat, violence, or a dangerous nearby situation. Staff must:
- Lock doors
- Turn off lights
- Move students out of visibility
- Maintain silence
- Await CRT and/or law enforcement directives
Severe Weather Procedure (Tornado/Severe Storm)
- Move students to interior rooms
- Avoid windows
- Seat students against interior walls
- Cover heads
- Remain until all-clear is issued
Missing Student Procedure (Hybrid)
- Immediate facility search
- Lockdown if abduction suspected
- Notify law enforcement
- Notify parents/guardians
- Complete incident report
Online Safety Controls for Virtual Meetings
To maintain secure virtual environments:
- Waiting rooms enabled
- Only enrolled students permitted to join
- Screen sharing disabled unless teacher-enabled
- Chat monitored
- Breakout rooms supervised
- Recordings managed only through approved protocols
Communication During Emergencies
Internal Communication Protocol
Administration communicates to staff via:
- SMS alerts
- Internal messaging system
- Emergency phone tree
Staff must respond promptly.
Parent/Guardian Notification Protocol
Parents/guardians will be notified:
- Once the situation is stable (or immediately for serious incidents)
- Through multiple channels (email, SMS, phone)
- Using accurate, factual information
- Without disclosing confidential information about other students
Media and Public Communication
Only designated spokespersons may issue public statements, speak to media, or post updates via official School channels. Staff may not post about emergencies on personal social media.
Preparedness Requirements (Hybrid Centers)
Required Drills (Documented)
Hybrid centers conduct drills as required by law and/or School schedule, including:
- Fire drills (monthly or per local law)
- Severe weather drills (twice yearly)
- Lockdown drills (twice yearly)
- Evacuation drills
- Medical emergency response practice
Staff Emergency Training (Annual + Refreshers)
Training includes: evacuation routes, lockdown procedures, first aid/CPR (as assigned), AED use, crisis communication, and emergency supervision.
Emergency Supplies (Monthly Review)
Hybrid centers maintain: first-aid kits, water supply, emergency contact lists, flashlights, fire extinguishers, and authorized emergency medications (as applicable).
